Privacy policy for 10 oktober

Your privacy is important to us. Here we describe how 10 oktober processes personal data in connection with 10oktober.se, our events, registrations via Luma and photography and filming.

1. Data controller

2. Personal data we process

We may process:

• name and contact details
• organisation, company or role
• information provided at registration
• correspondence and other information you provide yourself
• information about participation or involvement
• photographs, films and audio recordings from our events
• technical data needed for the operation and security of the website

We do not intentionally collect information about participants' health. The fact that someone registers for or takes part in an event about mental health does not mean that the person has personal experience of mental ill health. We do not use participation to draw or spread such conclusions.

Please do not provide information about your own or anyone else's health in registration forms or free-text fields.

3. Why we process personal data

We process personal data in order to:

• administer registrations
• plan and carry out the events
• handle check-in and security
• send practical information and any changes
• communicate with participants, speakers, artists, volunteers and partners
• answer questions
• follow up and develop our events
• compile anonymised impact and partner reporting
• document and provide information about 10 oktober
• comply with legal obligations
• send information about future events and initiatives where you have consented to this

Depending on the processing, the legal basis is performance of a contract, a legal obligation, consent, or our legitimate interest in arranging, documenting and providing information about 10 oktober.

4. Registrations through Luma

Registrations for our events are handled through Luma. When you register, Luma provides us as the organiser with the information needed. We use it to administer your participation and to communicate with you about the event in question.

If you make a separate and voluntary choice to receive information about future events and initiatives, we also use your contact details for such mailings.

You can withdraw your consent at any time via the unsubscribe link in the mailing or by contacting us. This does not affect your registration or your ability to take part.

Luma also processes personal data for its own purposes in accordance with Luma's privacy policy.

5. Photography and filming

Our events may be photographed and filmed. The material may show the audience, speakers, artists, partners, volunteers and activities on site.

The material may be used to:

• document the event
• provide information about 10 oktober and our work
• be published on 10oktober.se and in 10 oktober's social channels
• be used in digital and printed information and presentation material
• provide information about future events within 10 oktober

Overview shots, environmental shots and material where the event itself is the focus are normally processed on the basis of a balancing of interests. We weigh our need for documentation and communication against participants' reasonable expectations and privacy.

For planned portraits, interviews and material where an individual is clearly the focus, we normally ask for specific permission before use.

We are particularly careful with children and other people who may need stronger protection. We do not use images or films to state or imply anything about a person's mental or physical health.

6. If you do not want to appear

Tell the photographer, the film team or a member of staff on site if you do not want to be photographed or filmed. We will then, as far as is practically possible, take this into account.

If material has already been published, you can contact viveca@visocollective.com. State where the material can be found and which person you are. We will then make an individual assessment and remove or limit the use where there are justified grounds.

An objection does not affect your ability to take part in the event.

The events take place in public spaces. Visitors, media and other parties may therefore photograph or film for their own purposes, for which we are not responsible.

7. Who may have access to the data?

Personal data may be made available to suppliers who need it in order to carry out assignments for us, for example:

• Luma and other technical suppliers
• web, storage and communication services
• photographers, film-makers and production companies
• public authorities where we are required by law

We do not sell personal data.

Identifiable participant lists are not provided to partners or sponsors for their own mailings or marketing without separate, specific and voluntary consent stating the recipient and the purpose.

Impact and partner reporting is, as a general rule, produced using anonymised and aggregated statistics.

8. Transfers outside the EU and the EEA

Some digital suppliers may process personal data outside the EU and the EEA. Where we are responsible for such a transfer, it shall be covered by a valid transfer mechanism and appropriate safeguards.

9. How long the data is kept

• Registration and participant data is normally kept for no more than 12 months after the event.
• Data covered by accounting requirements is kept as required by law.
• Correspondence is kept for as long as the matter is current and thereafter only for as long as there is a legitimate need.
• Contact details for future information are kept until consent is withdrawn or the data is no longer needed.
• Photographs and films may be preserved as documentation and archive material for as long as the use is relevant and proportionate.

We regularly review the need for continued storage.

10. Your rights

Depending on the circumstances, you have the right to:

• receive information about how we process your personal data
• request access to your data
• request rectification or erasure
• request that processing be restricted
• object to processing based on a balancing of interests
• withdraw a consent
• receive certain data in a portable format
• lodge a complaint with the Swedish Authority for Privacy Protection

11. Security

We take appropriate technical and organisational measures to protect personal data against unauthorised access, loss, alteration and disclosure.

12. Changes to the policy
